At In Relation Psychotherapy Practice (“we,” “us,” “our”), your privacy matters. We handle your personal information with care, transparency, and respect, in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains how we collect, use, store, and protect your information.
Information We Collect and Use
We collect what is reasonably necessary to provide therapy and run the practice: contact details, date of birth, health and clinical information, emergency contacts, referral and billing records, correspondence, and website usage data. This information is used to provide and manage therapy, process payments, maintain clinical records, and meet our professional, legal, and insurance obligations. We do not sell or trade your information.
Multi-Clinician Practice
Your information may be accessed within the practice by your treating clinician, administration staff, and practice directors or clinical leads where required for clinical care, supervision, governance, risk management, or continuity of service. Access is limited to what each role requires. Identifying details are minimised in supervision and consultation where possible.
AI-Assisted Transcription
We use AI-assisted transcription to support clinical note-taking. Audio is not stored by the practice after transcription. All AI-generated notes are reviewed and approved by your clinician before becoming part of your clinical record. AI is not used for diagnosis, formulation, risk assessment, or any purpose unrelated to documentation.
You may ask about this at any time, and you may request that AI transcription not be used in your sessions.
Storage, Security, and Retention
We use secure, password-protected, and encrypted systems to store your information. Clinical records are retained for at least 7 years after the end of service for adult clients, or longer where required by law or professional obligations. Records for clients under 18 may be retained for a longer period.
Third-Party Platforms
We use third-party providers for bookings, practice management, telehealth, payments, email, website hosting, and AI transcription. These providers may store or process limited personal information, and some may do so outside Australia. We take reasonable steps to consider their privacy and security standards.
Confidentiality and Disclosure
Information shared in therapy is confidential. We may disclose information where required by law or where clinically necessary, including:
- Serious risk of harm to you or another person
- Mandatory reporting obligations, including child abuse or family violence
- Subpoena, court order, or other legal process
- Professional supervision, clinical consultation, or legal advice
- Where you have consented to share information with another professional
Where possible, we will discuss any disclosure with you before it occurs.
Access, Correction, and Complaints
You may request access to information we hold about you, or ask us to correct inaccurate or incomplete information. Contact us at hello@inrelationpractice.com.au. We may need to verify your identity.
